If you're planning a corporate event of any type, it's good to make a checklist of all the things you'll need to ensure everyone's comfort and to ensure their ability to hear any presenters or music you'll be including. Never assume that the venue or location hosting the event will provide everything you'll want, as you might be surprised at what items you'll need to hire or rent for the occasion. Note a few items to put on that checklist so you know these won't be overlooked during your event.

General room decor

If you're having a cocktail party, you may want a nice chandelier or some drapery around the room to soften the walls. If you're hosting an office Christmas party, you might want a decorated tree and poinsettia plants around the room. The venue that is hosting the event might offer some options for decor, but don't assume the room will be anything but bare unless you request decorative items to be included, or if you rent those items yourself and have them delivered to the venue.

Seating and tables

The venue may offer tables and chairs, but a cocktail party might be more enjoyable if you offer seating clusters where a group can sit and chat. This might include actual sofas or lounge chairs and side tables. Smaller tables for just two can also be very cosy and may be sufficient for cocktail parties, informal lunches, and other such events where guests don't need a large table for actual dining.

Cloakroom

If the event will be held during autumn or winter, you might consider a portable cloakroom of some sort. This type of room can be set up at the entryway of the venue, and it can be staffed by a volunteer who takes everyone's coats, or it can be left open so that guests can serve themselves. This can ensure seats are not taken up by coats and that guests are comfortable while attending the event.

Additional speakers

Even a speaker attached to a podium or handheld microphone may not be sufficient for guests to hear a presenter, announcements, and the like. You might also consider added speakers if there will be background music, so you can set these up around the room and ensure everyone can easily hear that music. More powerful speakers can especially be needed for dancing, as louder and clearer music is more likely to encourage your guests to dance than background music that is coming through small and insufficient speakers.
